I am dealing with some of the detail of getting the room ready for the conference.

I have paid the deposit to reserve the room chosen for the conference.
I also signed the contract for it.
The next thing I need to deal with is — catering, audio & visual requirements, room set up.
These will be additional costs.
(There are more things to do after those. But, that is what is next.)

As I mentioned before, we have a room chosen, and asked to use it on Friday August 1st & Saturday August 2nd.
I am waiting for them to send me the contract.
After I receive the contract, I will pay them a deposit to reserve the room.

I asked for Friday August 1st & Saturday August 2nd. Hopefully we get it.
(The weather in Vancouver is usually nicer then. Vancouver tends to have pleasant summer weather.)

I have some potential dates for this Fediverse Conference in Canada (FediCon).
I have been talking to one location about renting a room from them (for the conference). I asked them for 2 consecutive days we could rent a particular room.
This (in the attached screenshot) is what they said.
Given this, I am still leaning towards doing the conference in the month of August.
Maybe on a Friday and a Saturday.

But, I now have a ballpark for how much the room rental is approximately going to cost.
So, including taxes, and keeping in mind this is for 2 days and not 1 day (so we have to double it), it is probably going to cost about:
$4,500
... to rent the room for 2 days.

№1: I could change the day(s) of the week I am trying to make the conference happen.
№2: I could try a different room / location for all or one of the days.
№3: I could try a different month of the year.
So, I will follow up with the person to try to figure out something that works.
But —

I am trying to put the conference on a weekend — i.e., Saturday & Sunday.
And trying to put the conference in the summer (because the weather is a lot nicer there in the summer).
I asked them if the room is still available on any weekend (Saturday & Sunday) in August this year.
The room is still available on every Saturday in August, but — the room is occupied every Sunday until 1:30pm.

"The room rental for 1 session is: $1,035.00 + taxes"
"The room rental for 2 sessions is: $1,480.00 + taxes"
The person didn't mention what the room rental cost would be for all 3 sessions though. (I.e., for the whole day.) But, I suppose I could guess it is about:
$1,925.00 + taxes
(i.e., $1,925.00 = $1,480 + ($1,480 - $1,035).)

I got back pricing information.
It seems they rent rooms by "session". And there are 3 "sessions" per days:
• 8 am - 12 pm (morning session)
• 1 pm - 5 pm (afternoon session)
• 6 am - 10 pm (evening session)

One question —
Should we give out Lanyards?
They are those things people are sometimes given at conferences that they put around their necks and usually some type of "badge" with their name on it, hangs from it
And if yes, should they be "branded"?
I know some people keep them as souvenirs
But they have a cost

I have reached out to one location to figure out №1 is the room I am interested in renting for FediCon available, and №2 how much will it cost to rent it (for 2 consecutive days).
I am going to try to put the conference on a weekend (Saturday & Sunday). But that depends on availability and price differences.

Right now I am leaning towards a SINGLE-TRACK conference (for this Fediverse conference in Canada).
(Although still open to a MULTI-TRACK conference.)

If we end up doing a MULTI-TRACK conference (for this Fediverse conference in Canada) then, I still know which spaces we could use.
But, we would need to figure how many rooms we need, the size of each room, etc, to know the exact rooms we might use.

If we end up doing a SINGLE-TRACK conference (for this Fediverse conference in Canada) then, I already know which room to use.
I've been in the room plenty of times (for other conferences).

For this Fediverse conference in Canada —
One thing to figure out is — is the conference SINGLE-TRACK or MULTI-TRACK.
SINGLE-TRACK means that — we have a single (large) room, everyone at the conference is in that room, and only one presentation happens at a time.
MULTI-TRACK means that — we have multiple rooms, multiple presentations are happening at the same time, and people are split between these different rooms.
